COMPLIANCE HUB · ESG & EHS

Compliance Hub

The hub for company-side compliance: ESG (environmental / social / governance) and EHS (health, safety and environment) frameworks, checklists and evidence files all run from here. Honest note: frameworks and checklists are in place; data collection and third-party audits have not started — every card shows its real status.

ESG · Environmental / Social / Governance

E · Environmental

Office emissions, travel & logistics footprint, dangerous goods compliance

Checklist ready · data pending
  • Scope 1/2 (office electricity, owned vehicles) and Scope 3 (travel, outsourced logistics) inventory
  • Dangerous goods export compliance: UN number, packing group, packing certificate, SDS / GHS labels shipped with goods
  • Green preference: sea over air freight, packaging reduction and recyclable materials (to be assessed)

S · Social

Employee rights, responsible marketing and integrity

Checklist ready · pending rollout
  • Labour contracts, social insurance and working hours; staff handbook and annual training
  • Anti-forced-labour and non-discrimination commitments, grievance channel and handling records
  • Responsible marketing: SDS and efficacy claims backed by documents only — no invention (company red line)

G · Governance

Systems, anti-corruption, export control and data compliance

Partly in place
  • ISO 9001 quality system (certified — see certificate register)
  • Data compliance: GDPR red line (no outreach to EU/UK/Switzerland) enforced in the mail system
  • Export control & sanctions screening: every customer and supplier screened before onboarding
  • Anti-bribery & anti-corruption: gift, hospitality and commission declaration ledger (pending)

EHS · Health, Safety & Environment

Note: we are a trading company with no manufacturing plants of its own. Reaction/process safety, industrial wastewater-air-solid waste emissions and exposure-based medical checks belong to the contracted factories, not to our own reporting scope. We request their evidence instead (see Carrier & warehouse control above).

Dangerous goods & SDS

Archive in place

What we ship and which papers travel with it

  • Manufacturer SDS and GHS labels verified per shipment (see SDS archive)
  • UN number / packing group and dangerous-goods packing certificate for outbound shipments
  • Chemical sample limits and prohibited-items list (carrier declaration)

Carrier & warehouse control

Checklist ready · pending rollout

We don't own plants; we do control admission

  • Annual carrier qualification review (dangerous-goods licence, insurance)
  • Fire safety, stacking and temperature/humidity checks for leased or owned warehouses
  • Collect supplier EHS licences — doubles as EcoVadis sustainable procurement evidence

Office & travel emergency

Checklist ready · pending rollout

Our own premises and people

  • Fire and evacuation drill at the office (annual, documented)
  • Travel and trade-show safety briefing with emergency contacts
  • Escalation chain: business owner → quality → management

Social responsibility rating · EcoVadis

Many European buyers (chemicals, finished dosage forms, consumer goods) require a current EcoVadis scorecard before awarding business; below their threshold you may never reach the enquiry shortlist. We have not started an assessment yet — what follows is the rulebook and the evidence to prepare, not our own result. Never tell customers we hold a scorecard.

Environment

Energy & GHG (Scope 1/2/3), water, waste, air pollution, biodiversity, product end-of-life

  • Our actual scope: office electricity, business travel and outsourced logistics emissions (Scope 1/2/3)
  • To strengthen: green logistics policy (sea over air), packaging reduction requirements, suppliers' ISO 14001 certificates

Labor & Human Rights

Working conditions, health & safety, career management, social dialogue, child/forced labour, diversity

  • Staff handbook, labour contracts and social insurance, training and appraisal records
  • Written anti-forced-labour / non-discrimination policy plus a grievance channel (mailbox or form)
  • Office safety: fire drills, first-aid and work-injury records

Ethics

Anti-corruption, anti-competitive practices, responsible information management (data & privacy)

  • Anti-bribery policy plus signed staff acknowledgements
  • Gift / hospitality / commission declaration ledger (the most common scoring gap in trading)
  • Data compliance: GDPR red line, customer data classification, information security training

Sustainable Procurement

How you manage environmental and social risk in your own supply chain

  • Supplier code of conduct and commitment letters (our sample is downloadable)
  • Supplier EHS / social compliance checks: business licence, discharge permit, work safety licence
  • Key point: this also covers the factories we contract — their qualifications become our evidence

Scoring and medals: the official rules, verbatim

EcoVadis issues a 0–100 total score plus a score for each of the four themes. Since 2024 medals have been awarded on percentile rank, not fixed score bands — the bar moves as other assessed companies improve.

PlatinumTop 1% globally (percentile ≥ 99)
GoldTop 5% globally (percentile ≥ 95)
SilverTop 15% globally (percentile ≥ 85)
BronzeTop 35% globally (percentile ≥ 65)
Committed badgeTotal score ≥ 45 ("Good" baseline below medal level)
Fast Mover badgeScore 34–44 with ≥ 6 points improvement within 18 months

How to earn a medal: five steps

  1. 1

    1. Pick the entity, buy the subscription

Decide which group company will be assessed (a medal covers only the assessed entity; affiliates cannot borrow each other's medal), then subscribe at the matching tier (priced by size and coverage; request a quote).

  2. 2

    2. Gap analysis

Walk the four themes and list what exists: policy (written, signed, dated) → actions (programmes with quantitative targets) → results (verifiable data and reporting). Policy without action caps your score low.

  3. 3

    3. Answer the questionnaire with evidence

The questionnaire is tailored by industry code, headcount and geography. Unanswered questions score zero — never leave blanks; describing your current state and next steps still scores.

  4. 4

    4. Analyst review, 6–8 weeks

EcoVadis analysts review your uploads and publish a 0–100 total score, four theme scores and improvement areas.

  5. 5

    5. Improvement cycle

Fix the weaknesses, then reassess — most companies gain 5–15 points from the second cycle on. Treat EcoVadis as an annual cycle, not a one-off exam.

Setting a realistic target

Consultancies broadly agree: a first-time assessment realistically lands in the Bronze range or earns the Committed badge (≥45); Silver (top 15%) needs thorough preparation and complete documentation; Gold and above usually take several consecutive cycles. The exact score thresholds are not published — the above follows EcoVadis' official percentile rules and is not a promise.

Policies (pending signature)

Social responsibility ratings score on three tiers: policy → action → result. These four bilingual samples form the policy layer; complete the [brackets], route them for signature, and your ledgers then have something to hang on.

Works on mobile too: open the file, tap "Sign & return", sign with your finger and submit.

These policies apply to all employees of Unibest and its affiliates under common control — one team, one rulebook. Select the company that employs you; the ledger is kept per entity.

Ledgers & records (samples)

What gets recorded becomes the "actions" tier. Download and adapt these ledgers; once official versions are finalized, replace the files under the same names — links stay unchanged. Sample rows are for format reference only.
